Important update to email settings

Over the years, users have been permitted to configure email clients using legacy protocols and suboptimal security settings. In alignment with evolving industry standards and compliance requirements, it is now mandatory to enforce baseline security protocols for all email communications.

Action Required: All users are required to audit and update their local email client configurations including but not limited to Microsoft Outlook, Apple Mail, Mozilla Thunderbird, and mobile applications using the latest security guidelines provided below. This includes verifying support for modern authentication protocols (e.g., OAuth 2.0), enforcing SSL/TLS encryption, and ensuring correct port assignments and server hostnames are in place. For most applications that supports Starttls please use the settings from the recommended image.

For legacy applications or devices lacking compatibility with enhanced security configurations, fallback instructions have been provided to maintain service continuity while minimizing security risks please use the settings shown in the options image.

This change is critical, as failure to comply may result in degraded service, inability to connect, or transmission failures due to tightened client-side restrictions. Please ensure these modifications should be implemented without delay, as an increasing number of users are experiencing connectivity disruptions attributable to outdated or noncompliant configurations.

Additionally, please update the SMTP outgoing server hostname to mail.example.com (substitute example.com with your organization’s actual domain name). This change consolidates certificate requirements, removing the need to maintain dual SSL certificates across mail subdomains ultimately reducing overhead and cost.

Once client side updates have been successfully updated, log into your domain registrar or DNS management console, locate the SMTP (smtp.example.com substitute example.com with your organization’s actual domain name) DNS record, and delete it, as it is no longer required for outgoing mail routing.
